What ID do I need to bring?
You will need to provide your full UK photocard driving licence, together with your National Insurance number or a valid DVLA check code so that we can verify your licence online. In addition, two separate proofs of address dated within the last three months are required, such as a bank statement, council tax bill or utility bill. Digital documents are acceptable and may be shown on your mobile device. Please note that we will retain a photographic record of your proofs of address for compliance and insurance purposes.
Do I need to pay a deposit?
Yes, a £150 deposit is required for all hires. This may be paid by cash or card. Please note that card refunds can take up to three working days to appear in your account following the end of the hire.
Can I pay in cash?
You can pay your deposit in cash, but the main hire charge must be paid using a physical debit or credit card — not contactless. We need the card to be inserted so we can process refunds if needed.
Do you charge for additional drivers?
The deposit may be paid in cash; however, the main hire charge must be settled using a physical debit or credit card. Contactless payments are not accepted. The card must be inserted into the terminal to enable us to process any necessary refunds.
Can I return the van after hours?
Yes, we operate a convenient out-of-hours drop-off system. Please park the vehicle in our designated customer car park, ensuring that entrances and other vehicles are not obstructed, and place the keys in the secure drop box located beside the office door.
What’s your fuel policy?
The vehicle must be returned with the same level of fuel as recorded at the time of collection. Fuel is not included within the hire charge.
Where a vehicle is returned with less fuel than supplied, the cost of the missing fuel will be charged in addition to a £5 service surcharge.
What is the Collision Damage Waiver (CDW) and do I need it?
Collision Damage Waiver (CDW) reduces the amount you are liable to pay in the event of damage to the vehicle.
Without CDW, the standard insurance excess is £1,500 for most vans and cars, and £2,000 for minibuses and 7.5 tonne vehicles.
If CDW is taken, the excess is reduced to £150 for most vans and £250 for minibuses and 7.5 tonne vehicles.
Please note that you remain responsible for any damage caused to the vehicle while it is in your possession, regardless of fault. This includes, but is not limited to, scratches, dents, tyre damage and windscreen damage.
Is there a daily mileage limit on hires?
Yes, mileage is included within your hire, and the allowance is generous. Our standard vehicle hires include 150 miles per day or 750 miles per week, which is typically sufficient for most local moves and business use.
If the agreed mileage allowance is exceeded, an additional charge per mile will apply. Full details of any excess mileage charges will be clearly explained at the time of collection to ensure complete transparency.
Should you require a higher mileage allowance or unlimited mileage for a longer journey, please contact us in advance and we will be pleased to arrange a suitable option.
Can I take the vehicle abroad?
Yes, our vehicles may be taken abroad; however, overseas hires cannot be booked online. Additional charges, insurance requirements and breakdown cover arrangements apply, and these must be agreed in advance.
If you intend to travel outside the UK, please contact us directly and a member of our team will be pleased to assist in making the necessary arrangements.
Can I park my own car at your depot while I hire a van?
Yes, customer parking is available for the duration of your hire. Upon arrival, a member of our team will be happy to advise you on where to park.
Do you do one-way hires?
All vehicles must be collected from and returned to your chosen depot location.
For our Dumbarton branch, vehicles must be collected from and returned to our depot in Dumbarton.
For our Clydebank branch, vehicles must be collected from and returned to our depot in Clydebank.
We do not currently offer a delivery or collection service.
Do you do long-term hires?
We offer competitive rates on long-term van hire, whether for business use or extended projects.
Please contact us to discuss your requirements, including the duration of hire, whether the vehicle will be covered under your own insurance or ours, and an estimate of anticipated mileage. Our team will be pleased to provide a tailored quotation.
Can I extend my hire if I need the van for longer?
Hire extensions may be possible, subject to vehicle availability. We kindly ask that you notify us as early as possible if you anticipate requiring additional time.
As vehicles are often reserved for subsequent bookings, it is important that you contact us promptly if you expect to return the vehicle late or wish to extend the hire. This enables us to check availability and minimise disruption to other customers.
We will always endeavour to accommodate your request where possible, provided we are informed in advance.
Can I hire a van on my own insurance?
Many of our business customers prefer to hire vehicles using their own company motor insurance policy.
If you plan to arrange your own cover, we’ll need a copy of your valid motor insurance certificate. This must clearly state that you are insured for self-drive hire. Your insurer will also need to provide a cover note for the exact hire dates, confirming the vehicle registration number (which we’ll supply before collection) and confirming that Clydebank Vehicle Hire is the registered owner of the vehicle.

Can I hire a van with a towbar?
Yes, this is permitted where the vehicle is being insured under your own policy. Please inform us in advance so that we can ensure the appropriate vehicle is prepared and available for your hire.
